Nordic Culture Point Applications

Here are brief instructions for how you can apply for funding from Nordic Culture Point.

Before you start to fill in your application, please read about the programmes and modules so you can choose the right module for your application. Each module has its own application form. The application process of Nordic Culture Point is carried out electronically.


1. Create a user profile

In order to apply for support from the Nordic Culture Point, you will have to create a user profile at http://applications.kknord.org/user/register.php.

2. Log in

Log into your user profile at http://applications.kknord.org/user/login.php

3. Your user profile

Through your user profile, you will have access the electronic application forms and you can fill in an application to the modules that are open. The user profile serves also a platform for communications between the applicant and Nordic Culture Point.

4. Filling and sending an application

To start a new application and fill in an electronic application form, you will first have to log into your user account. Carefully follow the given instructions as you fill in your electronic application form.

5. After sending your application to Nordic Culture Point

You will receive a confirmation by e-mail that Nordic Culture Point has received your application, and a PDF copy of your application will be saved in your user account. If you haven't received an e-mail confirming that we have received your application, you should check your ju nk mail.

6. Notification of decisions

All applicants will be notified by e-mail of the decisions. The notifications will also be saved in the applicant's user profile.

 

1. CREATING A USER PROFILE

In order to apply for support from Nordic Culture Point you will have to create a user profile at http://applications.kknord.org/user/register.php. The user account is created by filling in a web form.

1.1. Choose type of applicant:

Each applicant must first select their type of applicant from the following categories: individual, organisation or group. The module for mobility support only accepts individuals as applicants. Select the correct type of applicant from the pull-down menu.

Individual: The applicant is a physical person applying for support.
Group: The applicant is a group of physical persons applying for support together. In this case we need the details on every member of the group.
Organisation: The applicant is an organisation, association or a company with an organisation number.

Do not change the type of applicant in My account. The type of applicant defines who the applicant is (individual, group or organisation). As a contact person, do not use the group's or organisation's user profile for your individual applications or vice versa.

1.2. Select user ID and password:

When you create a user profile, you will select at the same time a user ID (e-mail address) and a password, which you will use when logging in.

Provide an active e-mail address. The address will be your user ID. You can use the same e-mail address only once.

All the messages concerning your application will be sent to the e-mail address you have given. Also check your junk mail, because messages from Nordic Culture Point may end up directed to your junk mail filter. In order to avoid the classification of Nordic Culture Point e-mails as junk mail, you can add Nordic Culture Point on your list of safe senders. If you represent an organisation, you must use the organisation's e-mail address.

Try to avoid the use of Hotmail or Yahoo addresses. There have been problems with Nordic Culture Point e-mails getting through their servers.

Choose a password that is easy for you to remember. A safe password contains both lower and upper case letters and numbers or special characters. Never give your password to a third party and always keep it in a safe place.

1.3. Contact person:

Every application must include a contact person. If the application is approved, the contact person will be responsible for the project administration in relation to Nordic Culture Point. If the contact person changes in the course of the project, Nordic Culture Point must be notified without delay.

The responsibilities of the contact person include, for example:

  • budget and other financial affairs
  • notifying Nordic Culture Point of possible changes in the application or the project
  • approving and signing the contract with Nordic Culture Point

1.4. If the applicant is a group:

Provide the names of all the members of the group upon registering. Groups that have been granted support from Nordic Culture Point must fill in a form of authorization (PDF attachment). The form authorizes one of the members of the group to represent the group in communications with Nordic Culture Point. Nordic Culture Point will send the form of authorization (PDF attachment) to the contact person by e-mail after he/she has created a user profile.

The form of authorization should be printed out and every member of the group must sign it. After the contact person has ensured that every member of the group has signed it, the form of authorization is sent by post to Nordic Culture Point.

1.5. Make sure your browser allows Java Scrip when filling a web application

Add group member function: You have to make sure that your browser allows Java Script so the form will function correctly.


2. LOGGING IN

Log into your user profile at http://applications.kknord.org/user/login.php. with the user ID (e-mail address) and password you chose when creating your user profile.


3. YOUR USER PROFILE

Through your user profile you will have access to the electronic application forms of the modules that are open. You will find these modules under "Open programmes/modules" page.

Later in the application process the user profile will serve as a platform of communication between the applicant/grant recipient and Nordic Culture Point; your application will, for example, be saved as a PDF copy in My applications, and the information sent by Nordic Culture Point will be saved in your Message archive.

In My Account you fill find the information on the applicant which you provided when creating your user profile.

The applicant, especially in the case of individuals and groups/organisations, must always use the same user ID when applying for a grant from Nordic Culture Point.

3.1. If you forget your password

You can create your password again by using the "Lost password" function at http://applications.kknord.org/user/lostPwd.php.

You will receive a temporary password by e-mail with which you can log into your user profile. When you log in, create yourself a new, permanent password in My account.

Check your junk mail if you haven't received a new password by e-mail. Some e-mail operators, such as Hotmail, have effective junk mail filters that may block e-mails sent from Nordic Culture Point. If you don't receive a password by e-mail, please contact Nordic Culture Point.

3.2. Changes in applicant's contact information

You can make changes in your contact information in My account. The changes will become effective when you save them by choosing OK and log into your user profile again.

Do not change the type of applicant.

3.3. The user profile is applicant specific

The user profile is applicant specific and is to be used by one applicant and type of applicant only. E g do not use the user profile for both individual and group/organisation applications.

If your project is granted funding, the applicant is to use the user profile also e.g. to sign the contract with Nordic Culture Point as well as to report the finished project. This is the reason why the user profile is applicant specific and should not include applications from different applicants or applicant types.

E.g. if you are a contact person for an organisation or a group do not use the same user profile for applying as an individual person. In this case you should use a different user profile. If you by mistake have done this, please contact the secretariat.

3.4. Your user profile pages

Instructions/Home: This is the home page for the application forms and for your user profile. When Nordic Culture Point send the applicant a request or a message concerning the application, an alert text is showing on the home page when you are logged in.

Open programs/modules: The application forms for the open modules are listed on this page.

My applications: A copy of the application you send to Nordic Culture Point is saved on this page (as a downloadable PDF-copy). This page collects all the applications you send to Nordic Culture Point. The applications are listed according to the modules you applied to.

Message archive: All messages sent from Nordic Culture Point concerning your application/s and the application process will be saved on this page, e.g. messages concerning decisions and requests concerning different phases of the application process (if the application is granted).

My account: The applicant information from this page is attached to your application, when you send it to Nordic Culture Point. The form includes the applicant information you provided when registering the user profile. You can change the contact information so it is up to date. Do not change the applicant type on My account.

Log out: Logs you out from your user profile.


4. Filling and sending an application

To start a new application and fill in an electronic application form, you will first have to log into your user profile. Carefully follow the given instructions as you fill in your electronic application form.

4.1. General information about the application forms

Where are the application forms?

In order to find the application forms, you will have to log into your user profile. The application forms can be found under "Open programmes/modules" page.

The application forms are only available at the times when a programme or module is open for applications. You can find information on the application periods and their closing dates here.

You can preview the application forms of the modules that are open for applications. They are available as PDF documents and can be downloaded here.

4.2. Filling in the application

When you start to fill in a new application form, you have to first check that the information in My account is correct. If the information is correct you can proceed to the application form, or correct the information, if need be. Do not change the type or applicant.

You have to fill in all the fields in the form in order to proceed to the next page. Some of the fields in the form are locked, and if the information is not properly entered, or some of the obligatory fields are left unfilled, you cannot proceed to the next page. Incorrectly filled fields are marked with red. When all the information has been entered correctly, you can proceed to the next page. For example, the project description field is a locked field and it only accepts a limited number of characters.

You can save each page of the application form separately. You can also return to a former page to make changes. You can access a form you have started filling through your user profile until you send it to Nordic Culture Point.

Only using the the resume-link does not save the application. You must save the application page before you use the resume link to exit from your application.

4.3. Attachments

Please note that the decisions are made primarily on the basis of the application itself and the mandatory budget attachment. The other attachments are voluntary.

The total size of the attachments - for example, images, audio files etc. - that can be included electronically is limited (max. 5 MB).

Nordic Culture Point accepts the following file formats: text (*.rtf, .doc, .pdf), images (*.jpg, .pdf) and audio (.mp3).

4.4. Language of application

You can apply for support from the programmes of the Nordic Council of Ministers in eight different languages: Faroese, Greenlandic, Icelandic, Norwegian, Swedish, Finnish, Danish, and English.

Please note that applications written in Faroese, Greenlandic, Icelandic and Finnish will be translated so that they can be processed by the experts. Therefore it is important that you formulate your application as clearly as possible so that nothing is left out of the translation or misunderstood.

Two versions of the electronic application form are available: in Swedish and in English. Web forms will not be translated into Finnish, Faroese, Greenlandic or Icelandic.

We should also bring to your attention that this new form of service may slow down the processing of applications.

4.5. Currencies and numbers

Sums and the budget must be given in Euros. Please note that you shouldn't use spaces, full stops or commas in the numbers, use only whole numbers, such as €5000. You can convert the sums into Euros with, for example, the XE Currency Converter at www.xe.com.

4.6. Specifly about the text fields and the character counter

Most of the text fields in the application form have restricted requirements on the usage of characters in a text. If you are not able to proceed to the next page, please check the length of your text/s.

The amount of characters used are stated correctly after a page is saved. While you write the text in the locked field, the amount of used characters can differ from the amount indicated for a saved page. This is due to a security issue, since the database has to verify the text each time from the webform. The system also notifies what fields have information filled in incorrectly.

4.7. System requirements:

Web browser: The application system is optimized to Mozilla Firefox web browser. We recommend you to use Mozilla Firefox, when you work with Nordic Culture Point's application forms and when you use the user profile. You should always use the latest version of a web browser. This will help you to avoid technical problems.

Java Script and pop-ups must be allowed: Many of the features in the application forms needs that Java Script and pop-ups are allowed in your browser. E.g. Internet Explorer can have as default the Java Script and pop-ups turned off. Please view your web browser's settings, if you have problems e g with the calendar pop-up feature.

4.8. A few tips on how to work with online web forms:

Keep a back up of your texts in a text document. This can help you to avoid losing your unsaved information. There is always a chance for technical difficulties when you work with online web forms in a web browser.

Do not use the line return-button while working in a web form unless you are filling in a text field. This may cause a loss of your unsaved information.

Do not use the web browser's own navigation buttons e.g. the web browsers next or previous -buttons. Use only the next and previous -buttons in the web form to navigate in your application form.

Save frequently the application page you are working with to avoid losing your information.

The system logs the user out after longer periods of idle time. If the webform is left open and is not used, the system logs the user out after three hours. Always save your application page before longer periods of idle time or save your application page, log out and resume filling in the application later.

4.9. Send the application to Nordic Culture Point

When the application is finished and you have checked that everything is in place, you can send it to Nordic Culture Point. The application is sent from the last page of the application form.

Applicants can send only one application per module and application period.


5. After you have sent your application to Nordic Culture Point

You will receive a confirmation by e-mail that Nordic Culture Point has received your application, and a PDF copy of your application will be saved in your user profile. In order to avoid the classification of Nordic Culture Point e-mails as junk mail, you can add Nordic Culture Point on your list of safe senders.

5.1. Application ID number

When you have sent your application, Nordic Culture Point will give it an application ID number. If you need to be in contact with the secretariat concerning your application, you should refer to your application ID number. You will find the number in the letter of confirmation and in a notification that is saved in the Message archive of your user profile as well as in the PDF copy of your application.

5.2. Processing time

The processing of the applications takes about eight weeks from the closing date of the application period.


6. Decisions on funding

6.1. Notification of decisions

All applicants will be notified by e-mail of the decisions. The notifications will also be saved in the Message archive of the applicant's user profile.
